Our clinics will be open on September 19, 2022
Each time you visit the clinic please:
Arrive just-on-time for your scheduled appointment. We will be limiting the number of people allowed in the clinic at any given time.
We ask that you present to the clinic only a couple of minutes before your appointment time, as our waiting room is closed at present. We ask that you arrive unaccompanied when possible (unless you are a minor or someone who requires accompaniment, in which case, a parent or companion are welcome).
Wear your Medical Grade mask. All staff wear masks and we ask all patients to wear masks throughout their time in the clinic as well. Please bring your mask with you, but if you forget, we will have some available at the reception desk. Our Mask Policy updated on January 4, 2022 is included below.
Sanitize your hands. When you enter the clinic, the first thing that we will ask you to do (after a friendly greeting!) will be to use the provided 70% alcohol hand sanitizer. We will also verbally review the COVID symptom survey with you.
Enjoy an escorted (but distanced) walk to your private treatment room.

Booking
We book 1 hour initial assessment appointments and 30 minute subsequent appointments. If it has been more than 6 months since your last session, we ask that you book an hour long assessment in order that we may re-evaluate you properly and provide the best care for your current condition.
You have several options available for booking appointments:
- Booking Online: Some clinicians allow online booking through our website portal. After setting up your account, you will be able to set up appointments with these clinicians. Click BOOK APPOINTMENT at the top of the Navigation Menu and we will look forward to seeing you!
- Booking By Phone: Not sure who to book with? Give us a call! We would be happy to answer your questions and book appointments for you. Reach us at 613 599-9039.
- Booking By Email: Click the “Contact Us” button at the top of the Navigation Menu and send us an email. We’d be happy to arrange an appointment or answer your questions.
First Appointment
We are excited to see you, but there are a few steps to think of first.
Complete your intake form online and send it back to us. When you book an assessment, you will be emailed an intake form so that we are well-prepared to receive you! Completing it in advance allows for less contact in the reception area (very helpful in these times of COVID-19)
Complete the online COVID-19 symptom pre-screening questionnaire which includes consent to our mask policy. This is a request every time you enter the clinic… yup…every time. If you screen positive to any of the questions, we will ask you to reschedule your appointment to a later date, or switch the appointment to a Virtual session (and to consult with your family doctor or Ottawa Public Health, for further direction). Questionnaires will be emailed to you 24 hours before your appointment, but if you forget to fill it out, we will screen you at the clinic…questions will be posted at the entrance, and at the reception desk too.

Wait for your therapist in the freshly disinfected treatment room, and try not to touch any surfaces or your face – a true challenge.
Have a productive and helpful session. We will book your subsequent appointment while you are still in your private treatment room, in order to minimize your time at the reception desk on your way out, or you may choose to book online or by phone or email.
Payment and Receipts. To limit the handling of cash and paper at the front desk, we encourage you to pay through contactless tap, electronic money transfer (e-transfer), or to safely store your credit card on our secure system. (Cash or cheque are still accepted). We would also like to encourage the emailing of your receipt right to your inbox…but we are happy to print it if you prefer.

Subsequent Appointments
We are so happy to see you again! There may have been some changes in our protocols since your last visit, so here’s a run through of what to expect at the clinic on your follow up visit…

Policies
No Show and Short Notice Cancellation Policies:
- If you schedule an appointment and do not attend (No Show), or cancel with less then 24 hours notice, our reception staff will give you a call to reschedule your appointment. If this happens more than once, you may be charged for the visit.
- Cancellation due to illness or positive result from the COVID-19 pre-screening questionnaire: You may cancel without penalty at any time if you feel unwell or if you have a positive result from pre-screening questionnaire and we hope you feel better soon.
Updated Mask Policy
January 4, 2022
Given the current state of Omicron transmission and the very high number of cases in our area, we have updated our policy regarding the wearing of masks.
We have surgical masks in the clinic and are requesting that any patient presenting with a cloth mask switch to one of our Medical masks. Medical Grade masks undergo standardized testing and may offer greater protection from the Omicron variant than cloth masks, and so this change is being made for your protection as well as the protection of our staff. You can wear your cloth mask on top of the medical mask if you would like, as this can assist in a snug fit which may further improve protection. This is at your discretion.
For those who are exempt from wearing a mask, we invite you to try one of our Medical masks or we are happy to arrange a switch to Virtual care or a Home Exercise program at this time, until the current wave of the pandemic has subsided.
